This Privacy Policy describes how Reliable Roots Locating, LLC ("Company," "we," "us," or "our") collects, uses, stores, and protects information when you use the ReliaTXT platform ("Service"). By using the Service, you consent to the data practices described in this policy.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, phone number (optional), organization name, and role/trade type. Organization administrators may provide additional information about team members they add to the platform.

GPS and Location Data

ReliaTXT collects GPS location data from your device at configurable intervals while you are using the Service. This data is used for:

  • Geotagging photos with GPS coordinates
  • Associating photos with tickets via polygon matching
  • Activity tracking and crew location monitoring
  • Timekeeping verification
  • ETA calculations

GPS data is collected only while the app is active or running in the background with your permission. You can disable GPS tracking through your device settings, though this will limit the functionality of certain features.

Photos and Media

Photos taken through the ReliaTXT camera are stored on our cloud servers (Backblaze B2). Each photo includes embedded metadata: GPS coordinates, timestamp, device identifier, and associated ticket information. Photos are compressed for efficient storage and transfer but are not altered in a way that removes metadata.

Communications

Messages sent through the ReliaTXT messaging system (MiniReliaTXT) are stored on our servers. This includes internal team messages, ticket-level messages, and contractor-locator communications. Message content, sender identity, timestamps, and read receipts are retained as part of the communication record.

Ticket and Work Data

Ticket data imported into ReliaTXT (from 811 systems, email parsing, bulk import, or manual creation) is stored on our servers. This includes ticket numbers, addresses, excavator information, utility information, dig area polygon coordinates, status history, activity logs, and associated documentation.

Device Information

We collect device identifiers (a stable UUID generated by the platform, stored locally on your device), browser type, operating system, and app version. This data is used for session management, GPS data attribution, and troubleshooting.

Usage Data

We collect information about how you use the Service, including pages visited, features used, actions taken, and error logs. This data is used to improve the Service and diagnose technical issues.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Process and store your field documentation (photos, tickets, messages)
  • Power AI-driven documentation auditing (ReliaAI)
  • Provide GPS-based features including polygon matching, activity tracking, and timekeeping
  • Send you notifications related to your account, tickets, and messages
  • Respond to your requests and provide customer support
  • Comply with legal obligations

3. AI and Machine Learning

ReliaTXT uses AI systems to review documentation quality and generate audit flags. Your responses to AI-generated flags are used to improve the accuracy of the auditing system for your organization.

AI training data is scoped to your organization. Your field data and flag responses are not shared with other organizations for training purposes without your explicit written consent.

We may use aggregated, anonymized data (with all identifying information removed) to improve the overall Service.

4. Data Sharing

We do not sell your personal information or field data to third parties.

We may share information in the following circumstances:

  • Within your organization: Data is visible to other members of your organization according to the role-based permissions configured by your organization administrator.
  • Cross-organization messaging: When you send a message to another organization through the ticket messaging system, the message content, your name, and your organization name are shared with the recipient organization.
  • Service providers: We use third-party services for infrastructure (hosting, storage, authentication). These providers process data on our behalf under contractual obligations to protect your information.
  • Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction.

5. Data Storage and Security

Your data is stored on servers located in the United States. We use industry-standard security measures to protect your information, including:

  • Encrypted data transmission (HTTPS/TLS)
  • Authenticated API access with token-based authorization
  • Role-based access controls with organization-level data isolation
  • Secure cloud storage for photos and media (Backblaze B2)
  • Firebase Authentication for user identity management

No method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Specific retention periods:

  • Account data: Retained while your account is active and for 90 days after account closure.
  • Photos and media: Retained while your account is active. Photos associated with closed tickets are retained for a minimum of 12 months after ticket closure for documentation purposes.
  • Messages: Retained while your account is active.
  • GPS data: Retained for 12 months from collection date.
  • AI audit flags and responses: Retained indefinitely as part of the organizational knowledge base, unless deleted by an organization administrator.

Upon account closure, you may request deletion of your data. We will process deletion requests within 30 days, except where retention is required by law.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information
  • Object to or restrict certain processing of your information
  • Request a portable copy of your information

8. Children's Privacy

ReliaTXT is not intended for use by individuals under the age of 18. We do not knowingly collect information from children. If we learn that we have collected information from a child under 18, we will delete it promptly.

9. Cookies and Local Storage

ReliaTXT uses browser local storage (IndexedDB, localStorage) to enable offline functionality, cache ticket data, queue photos for upload, and store session information. This data remains on your device and is not transmitted to our servers except as part of normal sync operations.

We do not use third-party tracking cookies or advertising cookies. We do not serve ads.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the "Last Updated" date. Your continued use of the Service after such changes constitutes acceptance of the updated policy.
